Expense Report Blackout from October 11 to 31 Prior to Workday Go-live

September 27, 2019

At the end of October, VNSNY is rolling out a new human resources, finance, and payroll system, Workday. Workday will provide you with one-stop shopping to view your pay, benefits, and important information about your team, and will be able to be used on your VNSNY phone, tablet, laptop, or work computer.

As part of this initiative, we will begin to use Workday for our expense reporting instead of Chrome River. Due to this transition, you will be unable to submit new expense reports from October 11 to 31.

More details about the timeline for expense report blackouts are below:

  • No later than October 10: Submit all outstanding expense reports. The pay period of September 28 to October 10 is the final pay period in Chrome River to submit new expense reports.
  • October 11 to 24: Complete any existing expense reports that require edits or approval. No new reports will be accepted!
  • October 25: VNSNY workers (managers, employees, contingent workers) will no longer be able to access Chrome River.
  • October 25: Expense reports with the status of approved will be processed for payment. Unapproved or draft expense reports will need to be resubmitted in Workday on or after November 1.
  • October 25 to November 1: No expense reports can be created or approved during this blackout period.
  • November 1: Employees can begin to submit expense reports in Workday.

Upon go-live, quick reference guides (QRGs) and short videos will be available for just-in-time learning when you need to complete a task such as submitting expenses. Managers who have direct reports will cover expense approval in the in-person manager trainings being held from mid-October to early November.

If you have any questions about this timeline, please reach out to the Payroll Hotline at 212-609-5752 or e-mail Finance – Payroll.
